Recruitment and staffing software in India: Four Labour Codes now apply. Your hiring software has to follow them.

Every worker now needs an appointment letter. Contract and gig workers get social security, candidate data needs clear consent, and bulk SMS and calls face tighter rules. We build applicant tracking, staffing payroll and outreach tools with the records, notices and opt-ins built in.

The sector

Recruitment and staffing, in numbers.

Hiring in India now runs on four new Labour Codes, a new data protection law and stricter telecom rules, all at the same time.

29
central labour laws were replaced by four Labour Codes, in force since 21 November 2025 (Ministry of Labour and Employment, PIB).
64%
of India's workforce had social security cover in 2025, up from about 19 per cent in 2015 (Ministry of Labour and Employment, PIB, November 2025).
What the rules ask of you

The rules shaping your software.

The regulations and standards that change what your systems, website and data handling need to do, each with its date and a link to the source.

01 The four Labour Codes in force since 21 November 2025 The Codes replaced 29 central labour laws. Every worker must get an appointment letter, minimum wages now cover all workers, and fixed-term staff get the same benefits as permanent staff, with gratuity after one year. Central Rules followed on 8 May 2026, and state rules vary. Source
02 Social security for contract and gig workers Code on Social Security, 2020 The principal employer must provide health and social security benefits to contract workers. Gig and platform work is defined in law for the first time. The Code sets aggregator contributions at 1 to 2 per cent of annual turnover, capped at 5 per cent of what they pay those workers. Source
03 DPDP Act 2023 and DPDP Rules 2025 most duties due from May 2027 CVs, ID proofs and test results are personal data. You need a clear, standalone notice for each purpose, must answer access and erasure requests within 90 days and must tell candidates about a data breach. Penalties go up to ₹250 crore. Source
04 TRAI rules for business SMS and calls amended February 2025 and 18 September 2026 Business SMS must use registered headers and templates, and promotional calls must come from the 140 series, not ordinary mobile numbers. Messages sent because someone made an enquiry are allowed for only seven days, and auto-dialled or AI voice calls must be declared to the telecom operator first. Source
What we build

What we build for recruitment and staffing firms.

01 Applicant tracking and job portal links One ATS for applications from Naukri, LinkedIn, Indeed and your careers page, through the integration or export each portal offers. Duplicates are merged and every candidate's source is kept.
02 Staffing payroll and compliance records Attendance, timesheets, digital appointment letters, wage records and monthly PF and ESI files for every deployed worker, with each client's sites and rates kept separate.
03 Candidate outreach on WhatsApp and SMS Interview reminders and job alerts on the WhatsApp Business Platform after a recorded opt-in, and SMS through registered headers and templates, with opt-outs honoured on every channel.
04 AI screening with a person in charge CV parsing and matching with a recruiter reviewing every rejection, clear consent notices for candidates and automatic deletion when the data is no longer needed.

Thirty minutes with a senior engineer, free and with no obligation. Bring the problem, not a brief.

What we will not claim.

We do not make you compliant with the Labour Codes, the DPDP Act or TRAI rules, and we are not approved by any job portal, EPFO or ESIC. Your lawyer or CA signs off on contracts, wages and filings. No AI screening tool is free of bias. We build records, notices, opt-ins and human review into your systems so you can show what was done and when.

Recruitment and staffing questions

Frequently asked questions.

Can you connect our ATS to Naukri, LinkedIn and Indeed?

Yes, through the integration, feed or export each portal offers on your plan. We do not scrape portals, because it breaks their terms and stops working without warning. Applications land in one place, duplicates are merged, and every candidate record shows where it came from and what consent was given.

What do the Labour Codes change for staffing software?

Every worker needs an appointment letter, minimum wages apply to all, and fixed-term staff get equal benefits. The principal employer must also provide social security to contract workers. Your software should issue letters, track wages and keep PF and ESI records for each client site. State rules differ, so check yours.

Can we use WhatsApp to reach candidates?

Yes, through the WhatsApp Business Platform, once the candidate has opted in. WhatsApp's own policy requires that permission and says you must honour every opt-out. We store when and how each candidate agreed, use approved message templates and stop messages as soon as someone asks.

Can you help stop fake job offers that use our name?

We can make them easier to spot. We build a page where candidates can check your recruiters, official numbers and email domains. We set up email authentication, so scammers find it harder to send mail as you. We also add a simple way for candidates to report a fake offer to your team.

When do the DPDP duties start for candidate data?

The DPDP Rules were notified in November 2025 with an 18-month phase-in, so most business duties are due from May 2027. That covers consent notices, security, breach alerts and data requests. We build these into your ATS now, so you are ready before the deadline instead of rushing later.
